In Flight Inc., is a nonprofit that provides support services within a home environment and the community for adults with Intellectual and Developmental Disabilities (I/DD).
SCOPE OF WORK: Reporting directly to the Executive Director, the Executive Assistant provides executive support in a one-on-one working relationship. The Executive Assistant serves as the primary point of contact for the Executive Director and a liaison with the Board of Directors. They will need to be able to exercise good judgment in various situations and possess strong written and verbal communication, administrative, and organizational skills with the ability to prioritize. The Executive Assistant must be able to work with other company Executives at times to handle a wide variety of activities and must adhere to all matters with the highest degree of confidentiality and discretion.
The position is based in Red Hook, NY. 30 Hour- hourly position Monday- Friday. The day starts at 8 am. There is the potential for this position to move to a 40 hour by the end of the year.
Hourly rate is between $23-$28.

RESPONSIBILITIES
- Provide comprehensive support services to the Executive Director that ensures outstanding communication and responsiveness including managing all scheduling for the Executive Director
- Coordinate the Executive Director’s calendar, including scheduling appointments, meeting rooms, and logistics to support appointments and meetings
- Support the Executive Director in strategic communications, organizational strategy, and all other special projects as assigned
- Assist in the preparation of agendas for meetings
- Take all meeting minutes at all required meetings, send to all attendees, and follow up with necessary parties
- Support the Executive Director with internal and external communications
- Prepare and edit correspondence, presentations, reports, and memos
- Serve as a liaison to the Board of Directors including taking all minutes for meetings
- Maintain quality filing and communications systems including contact management, document management, and archiving
- Chair Policy committee, ensuring company policies and procedures are organized, formatted, and current. Keep track and set deadlines for department heads for changes
- Other clerical duties as assigned
- The Executive Assistant position is expected to maintain flexibility in their availability and attention to the needs of the Executive Director’s office. As such, the position may require some evenings, quarterly for Board of Directors meetings
QUALIFICATIONS:
- Experience: 2 years related work experience
- Familiarity with the nonprofit sector
- Good judgment and ability to function independently
- Good working knowledge of all Microsoft Office applications
- Strong interpersonal skills with the ability to take initiative, multi-task, be a team player, be flexible, adapt to shifting priorities, and prioritize work
- Excellent communication skills, both verbal and written
- Demonstrated writing and analytical skills
- Excellent organizational skills, commitment to accuracy, and attention to detail
- Ability to access a wide range of sources and networks for information
- Highly experienced in electronic communications
